The challenge

The finance team closed each month from a patchwork of spreadsheets pulled from the production system, a standalone purchasing tool, and bank portals. Reconciling them took five working days, and version mismatches regularly delayed reporting to the board.

Procurement ran on email approvals, which meant no one could reliably answer a simple question during an audit: who approved this purchase, and against which budget?

The solution

The company deployed Auliq's ERP application, connecting general ledger, purchasing, and inventory on a shared data layer. Purchase requests, approvals, and receipts now flow through one workflow with role-based permissions and a complete audit trail.

Recurring journal entries, accrual templates, and approval thresholds were configured during rollout, so routine transactions no longer require manual handling.

The implementation

The rollout ran in three phases over ten weeks: financials first, then purchasing, then inventory integration. Each phase ended with a parallel-run period where the old spreadsheet process confirmed the new numbers before cutover.

Finance staff received role-based training in week one of each phase, and the team designated two internal superusers who handled configuration questions directly instead of routing every request through a vendor.

The results

The monthly close compressed from five days to two, with reconciliations running directly from shared records instead of exported spreadsheets. Manual data entry across finance and procurement dropped by roughly two-thirds.

Every purchase now carries a visible approval history, which turned the annual audit from a multi-week evidence-gathering exercise into a walkthrough of the system.

"We stopped reconciling spreadsheets and started reviewing numbers. The close is now a checkpoint, not a project."
