Improving construction project visibility
A general contractor moved RFIs, submittals, and document control onto one platform, giving owners and project managers real-time visibility across fifteen active projects.
Regional general contractor · 260 employees, 15 active projects
The challenge
Each project manager ran documents and correspondence in their own way: shared drives, personal inboxes, and in some cases paper. Answering the basic executive question, which projects have open RFIs older than a week, required a round of phone calls.
Submittal approvals stalled silently, and drawing revisions sometimes reached the field late, producing rework that was only traced back to information lag after the fact.
The solution
The contractor standardized all projects on Auliq's construction platform: one document register, one RFI workflow with response-time targets, and one submittal register with owners and due dates. Field teams review current drawings on tablets, with revisions pushed automatically.
Executives see portfolio status, open items, and aging across all projects from the same data project teams work in, with no separate reporting effort.
The implementation
The company piloted the full workflow on two projects for one phase, running the old process in parallel and comparing cycle times. The measured difference won over the remaining project managers before the wider rollout.
Rollout proceeded project by project at each phase break, so no project changed systems mid-phase. Two superusers from the pilot team supported onboarding for every subsequent project.
The results
Average RFI response time fell from eleven days to four once every request had a visible owner and clock. Submittal aging became a managed number rather than a surprise, and portfolio status reviews shifted from anecdote to data.
The company cites the late-drawing rework incidents, previously a recurring cost, as largely eliminated once revision distribution became automatic and verifiable.
"We used to discover problems at the monthly review. Now the review confirms what we already fixed."
