Administrator guide: manage users and roles
Invite users, assign roles, manage access changes, and keep your permission model clean as the organization grows.
Prerequisites
- Administrator role
Steps
Invite users
From the user management area, invite people by email and assign a role at invitation time. Invitations expire after seven days; resend rather than creating duplicates.
Assign and review roles
Map your organizational roles to platform roles deliberately: a person's platform role should follow their function, not their seniority. Review the role assignments quarterly, starting with administrative roles.
Handle access changes
When someone changes team or leaves, update their applications immediately and disable the account on their last day. Never share accounts to cover a gap; create the new access instead.
Audit periodically
Use the activity history to review who accessed what, focusing on administrative actions. A short monthly audit of the last month's admin activity catches permission drift early.
Tips
- Prefer fewer, well-defined roles over many narrow ones; role explosion is the most common permission problem.
